The Unit Clerk is responsible for performing various secretarial, clerical and resident care support functions. Also responsible for the maintenance of health records’ transcribing and processing Physician’s orders, as well as the resident Roam Alert monitoring system and other related functions at Actionmarguerite St. Joseph. The Unit Clerk is responsible for supporting the organization within the area of scheduling services including processes and systems related to: day to day operational staffing requirements and replacements, vacation scheduling support, staff availability, the scheduling module of the Human Resources Information System (HRIS) and associated reporting and special human resources (HR) projects that may require scheduling support.

Pay Scale: As per CUPE Collective Agreement

Required Qualifications

Education and Experience:

  • Grade 12 or equivalent;
  • Unit Clerk Program Certificate is required or equivalent education and experience;
  • Completing of a recognized secretarial and / or community college program;
  • Completion of a medical terminology course;
  • Completion of relevant computer courses;
  • One to two years’ experience in a similar position or setting.
  • Experience in word processing and data entry, drafting routine correspondence, creating reports using Excel, and receiving and directing callers;
  • General office practices and filing procedures; and
  • Experience with health records and using Quadrant Workforce is an asset.

Abilities and Skills:

  • Ability to communicate clearly in English is required;
  • Ability to set priorities and manage time effectively;
  • Ability to be flexible and respond to a variety of simultaneous demand;
  • Proven ability to plan, organize work and to work effectively within the Resident Care Team;
  • Must be able to retain information on a confidential basis;
  • Must have good interpersonal skills, as well the ability to work independently;
  • Ability to manage and meet deadlines;
  • Ability to demonstrate a satisfactory employment record, including attendance; and
  • Current Criminal Record Check for the Vulnerable sector and Adult Abuse Registry Check deemed satisfactory by the Employer.

Knowledge:

  • Personal Health Information Act (PHIA), Protection of Persons in Care Act, Mental Health Act, Principles of Routine Practices (Universal Precautions) and other legislated acts; and
  • Roles and responsibilities of members of the health care team.

All staff are hired for the facility. Employees may hold more than one position in different Actionmarguerite facilities, where the sum total of hours does not exceed 1.0 full-time equivalence.
